Maintenance Coordinator (Full-Time Days) - Maintenance

Who You Are:

You are a highly organized, detail-oriented professional with a strong ability to manage multiple tasks in a fast-paced environment. With excellent communication and interpersonal skills, you thrive as a liaison between departments, vendors, and staff, providing essential administrative support. You are skilled at managing work orders, scheduling, and coordinating complex tasks across various departments. Your proficiency with office systems and financial tracking ensures that operations run smoothly and efficiently.

What You'll Do:

  • Review, verify content, and process work requests received via the work request/CMMS system and by telephone. Assign routine, preventative, and emergency work requests to appropriate technicians and department supervisors.
  • Enter and maintain work order data in the work request/CMMS system, and generate reports as requested.
  • Gather and organize information from various sources to assist in administering the Joint Commission Environment of Care and Life Safety programs, including utility management, hazardous waste disposal, preventive maintenance, and equipment management.
  • Manage the office functions of the Departments of Facilities Management, Environmental Services, and Clinical Engineering.
  • Prepare correspondence, create memoranda, policies, manuals, and forms, and perform data entry, word processing, filing, and photocopying duties.
  • Manage departmental payroll information and employee weekend/holiday/on-call schedules.
  • Assist department Directors in rolling out and tracking benefits and programs for department staff, such as uniforms, training, and safety appointments.
  • Maintain financial and budget information to support the effective operation of the department. Track and post invoices and purchase orders, and manage expenditures across various accounts.
  • Provide reports and information for budgetary purposes, and coordinate parts ordering, receiving, and processing of service contracts.
  • Process all invoices for materials and services, preparing receiving reports and obtaining authorization for payment. Investigate and reconcile discrepancies in invoices.
  • Schedule meetings, prepare agendas, attend meetings, and record minutes as directed.
  • Distribute Facilities, Environmental Services, and Clinical Engineering information to appropriate personnel across the hospital and off-site departments.


What You'll Bring:

  • High School Diploma required.
  • Associate's Degree preferred.
  • A minimum of two (2) years in a secretarial position within a hospital or healthcare setting.
  • Preference given to experience in Facilities/Maintenance and/or Joint Commission.
  • Experience with Microsoft Office, with proficiency in Word and Excel required.
  • Working knowledge of PowerPoint and Computerized Maintenance Management Systems (CMMS) preferred.
